Position: Executive/Conference Planning Assistant (Part-Time)
Location: Saskatoon office or remote/home office
Reports To: Executive Director (ED)
Salary: $15-17/ hour. Based on experience and qualifications
Summary: Reporting directly to the Executive Director, the Executive Assistant provides crucial administrative support to the Executive Director and the association. This part-time role involves coordinating and organizing events large and small, managing social media, assisting with administrative tasks, and contributing to the efficiency and productivity of the organization.
Responsibilities:
Conference Planning:
Assist in organizing and executing the annual SAVT conference.
Serve on the conference planning committee, taking minutes, providing administrative support, and executing committee recommendations.
Act as the primary point of contact for all conference-related matters.
Communicate with potential sponsors and explore grant opportunities.
Source new sponsorship opportunities and negotiate contracts with event venues.
Reach out to potential speakers, manage speaker contracts, and coordinate presentations.
Organize wet labs at VMC (Veterinary Medical Center).
Assist in planning smaller continuing education events as required.
Administrative Support:
Assist the ED in tasks as instructed.
Contribute to the development and enhancement of office systems to improve efficiency.
Provide answers and support to member inquiries.
Content Development and social media:
Maintain and update social media platforms for the SAVT.
Develop graphics and materials as needed by the ED.
Communication and Collaboration:
Liaise with various stakeholders including the membership, Board of Directors, industry representatives, liaisons to other associations, and the public.
Communicate effectively and clearly with stakeholders.
Other Tasks:
Accomplish additional tasks as required to support the association directed by the Executive Director of SAVT.
Required Skills and Qualifications:
Strong computer skills with proficiency in office management software, Canva, and other relevant applications.
In-depth understanding of the veterinary profession and Registered Veterinary Technologists.
Excellent communication skills with a keen attention to detail and adherence to timelines.
Ability to comprehend and work within budgets.
Willingness to seek guidance and clarification when needed.
Capability to generate timely reports and action plans.
Education and Experience:
High school graduate with professional experience in a similar role.
Post-secondary education in a related field is advantageous but not mandatory.
Work Environment:
Work may be conducted from a home office or at the Saskatoon office space.
Oversight and direction provided by the SAVT ED.
Flexible work schedule under the discretion of the ED, with certain periods requiring increased workload and time commitments.
